Cargo information checklist before quotation

Organize cargo details and export documents in advance to speed up the initial review.

Information to prepare first

  • Pickup address and postal code
  • Destination country, preferred airport and final delivery point
  • Commodity, purpose, material and quantity
  • Dimensions and weight of each package
  • Preferred pickup and arrival dates, plus Incoterms

Core documents

Most exports require a Commercial Invoice and Packing List. Depending on the cargo, additional documents may include an SDS, non-applicability statement, certificate of origin or export permit.

Checks for oversized and heavy cargo

Confirm final dimensions and gross weight including crates and pallets. When the cargo has a defined center of gravity, lifting points, forklift pockets or orientation restrictions, prepare drawings and clear photographs.

Required documents and acceptance conditions vary by commodity, destination, airline and customs requirements. Confirm the final requirements with the responsible coordinator before shipping.
